Archive-Vault is our compliance-grade storage system that guarantees your invoices and e-invoices are stored securely for 10 years (or longer), meeting statutory retention requirements in most jurisdictions. It includes: automatic backups, audit-ready exports, tamper-proof storage, and legal compliance guarantees. This is essential if you need to prove invoice authenticity during audits or legal proceedings.

Most countries require businesses to keep invoices for 7-10 years for tax and audit purposes. Requirements vary by jurisdiction (e.g., Belgium: 7 years, Germany: 10 years, Singapore: 5 years for GST). You are responsible for understanding and meeting your local retention requirements. EncryptInvoice provides the tools, but compliance responsibility remains yours unless you use our Archive-Vault service.

Yes! You can export your entire invoice history (metadata + PDF + XML) at any time from your account dashboard. We recommend doing this quarterly or annually for your own backup and compliance records. Exports include all invoice data in standard formats for easy archival.

Yes. All data is encrypted with AES-256 (bank-grade encryption) at rest and TLS 1.3 in transit. We use role-based access control, two-factor authentication (2FA), and comprehensive audit logs. Your data is hosted in EU-based data centers (GDPR-compliant) and we never sell or share your data with third parties.

All data is hosted in EU-based data centers (Frankfurt, Germany) to ensure GDPR compliance. For customers outside the EU, data remains in the EU by default, but we plan to offer regional hosting options (Singapore, US) in Q2 2026.

Yes. We perform automated daily backups of all data. However, backups are retained for 30 days only on Free/Pro plans. Business and Enterprise plans include extended backup retention (90 days+) and point-in-time recovery as part of Archive-Vault.

Yes! You can export your entire invoice history at any time. We provide a complete data dump including: all invoices (PDF + UBL XML), quotes, contacts, expenses, and metadata. Exports are available in standard formats for easy import into other systems. You retain full ownership of your data.

Upon cancellation or downgrade, you have a 30-day grace period to export all your data. After 30 days, data on Free/Pro plans may be deleted. Business/Enterprise customers get a 90-day export window and optional extended archival for a fee.

Exports include: PDF (human-readable invoices), UBL 2.1 XML (e-invoicing standard), JSON (metadata and structured data), and CSV (for contacts, line items). This ensures compatibility with most accounting and ERP systems.

Small exports (< 1,000 invoices) are instant. Larger exports (10,000+ invoices) are processed asynchronously and you'll receive a download link via email within 1-2 hours. Archive-Vault exports for Business/Enterprise plans include verification checksums for audit compliance.

You'll receive an email warning when you reach 80% of your quota. If you exceed limits: (1) You can upgrade to a higher plan, (2) Purchase additional storage (€5/GB/month), or (3) Delete old data to free up space. Your existing data remains accessible until you take action - we don't delete it automatically.

Yes! Extra storage is available on all plans: €5 per GB per month. This is billed separately and can be added/removed at any time. Note: Extra storage on Free/Pro plans does not include Archive-Vault benefits (10-year retention, compliance guarantees).

Yes! Pricing is shown in EUR globally, but discounts are applied automatically at checkout based on your billing country. For example: Côte d'Ivoire gets 40% off all paid plans. Discounts are reflected on your invoice.

We support: PEPPOL (32 European countries), Singapore InvoiceNow, France Chorus Pro (for B2G), and we're adding Australia/New Zealand A-NZ (Q1 2026) and Côte d'Ivoire FNE (Q1 2026). We automatically route your e-invoices to the correct network based on the recipient.

We run VAT/UEN format checks, VIES pre-checks where applicable, and e-invoicing participant lookups (PEPPOL/InvoiceNow). We do not provide authoritative validation against national tax databases (KVK, SIREN, SIRET, ACRA, etc.) — please confirm official records before sending.

Yes! We're fully PEPPOL-compliant and ready for: Belgium 2026 B2B mandate, France 2026 mandate, Germany 2025 mandate. We stay updated on regulations so you don't have to.

Yes! All plans (including Free) support unlimited received e-invoices. When a supplier sends you an e-invoice via PEPPOL or other networks, it appears automatically in your EncryptInvoice inbox.
